Microsoft Teams Free provides meeting options to help meeting organizers manage participation, maintain a safe environment, and ensure smooth meetings. 

Meeting roles

There are three roles to choose from: organizer, presenter, and attendee. Organizers and presenters share the most permissions, while attendees are more controlled. 

The organizer is the person who creates the meeting. They can: 

  • Set up Meeting Options (bypass lobby, who can present, who can share screen) 
  • Remove participants 
  • Mute participants 
  • End the meeting for all 
  • Share their screen 
  • Control access settings 
     

Presenters and attendees have similar permissions. They can: 

  • Join via link or lobby
  • Share their audio and video
  • Share their screen (presenters only)
  • Use the chat
  • Raise a hand
     

Note

When setting up a meeting, if someone is chosen as a presenter, they have control over their own audio and video while in the meeting. If everyone is a presenter, the organizer loses the ability to change audio and video settings for everyone unless everyone is removed from the presenter role. 

Meeting options

You can customize your meeting experience with different features. Some features are only available for Microsoft 365 Personal, Family, or Premium subscribers with a Teams personal account.

Access meeting options

Organizers can add or adjust your meeting options while scheduling a meeting or after its scheduled. Many options default ON to ensure meetings begin with full functionality. Organizers have the option to turn the features off. 

Some in-meeting options require a Microsoft 365 Personal or Family subscription. To edit a meeting, tap Meet Now. While in a meeting, tap ParticipantsMeeting options. Learn more about what you can do in a meeting
