Change the account used to send email messages in Outlook for Windows

Applies To
Outlook for Microsoft 365 Outlook 2024 Outlook 2021 Outlook 2019 Outlook 2016 New Outlook for Windows

If you have multiple accounts in Outlook, when you compose a new email message, Outlook picks the default account as the From account. However, if you want to Reply, Reply All, or Forward a message, Outlook will send your message with the same account the original mail was sent to. For example, Cheryl has two accounts. Her default account is cheryl.parsons64@outlook.com. Her second account is cheryl@contoso.com. If Cheryl receives an email message from Chester at her cheryl@contoso.com account, when she replies to Chester's message, her reply will be sent using cheryl@contoso.com. If she creates a new message to Chester that's not a reply or a forward, the message will be sent using her cheryl.parsons64@outlook.com account.

Change the account your message is sent From

You can change which account is used to send a message.

  1. In the message window, above the To button, select From.
  2. Select the account that you want to use.

Select a tab option below for the version of Outlook you're using. What version of Outlook do I have?

The From button is missing in new Outlook

If you have the Send button, but don’t have the From button, the typical cause is that your Outlook profile contains only one email account. To view the From button, you'll need to add another email account

If you have multiple email accounts, you can add the From button manually. Once you add the From button, you can't remove it unless you remove all but one email account from Outlook.

  1. Create a new email message.
  2. Select Options, then select Show From in the Show fields group on the ribbon.

Change your default email account in new Outlook

The primary account determines which account Outlook uses for app-wide settings and policies. You can change the primary account if you have more than one account added to new Outlook.

  1. Select the File tab, then select Account info.
  2. In the Your accounts window, under Email accounts, select Manage next to the account that you want to make the primary account.
  3. Under Account details, select Set as primary account.
  4. In the confirmation window, select Continue. Outlook will restart and use the selected account to load app settings and other policies.

Always use the default email account for sending new email in new Outlook

This option is not available in new Outlook for Windows. When you create a new message, new Outlook uses the primary account that you currently have selected. Alternatively, you can follow the steps to change the account your message is sent From.
