Shared mailboxes and delegate mailboxes play a key role in team collaboration. With Copilot integration, users can now access AI-powered insights directly within these mailboxes, making it easier to stay organized, maintain context, and communicate consistently. This update minimizes manual effort and allows both mailbox owners and delegates to focus on strategic, high-value work.
You can use the Microsoft 365 Copilot app to read and take action on emails in shared mailboxes and delegate mailboxes. For example, you can read emails, draft responses, and summarize emails.
Important: Currently copilot can’t help you read or take action on a mailbox if you only have shared folder permissions in a delegate mailbox. You need full delegate access to be able to read or take action on a delegate mailbox.
Before you begin
You must have a Microsoft 365 Copilot license to read or take action in shared mailbox or delegate mailbox items.
Use Copilot to read or take action on a shared mailbox

Go to Microsoft 365 Copilot or open the Microsoft 365 Copilot app on your desktop, then sign in with your work or school account.

In the Chat window, enter your prompt and when you're done, select Send.
Here are a couple of suggested prompts to use for a shared mailbox:

Summarize recent emails in <mailbox@domain.com> mailbox

List all the emails around <topic> from < mailbox@domain.com > mailbox
Note: Make sure you include “mailbox” in your prompt to specify the action on the mailbox.
Use Copilot to read or take action in a delegate mailbox

Note: Make sure you include mailbox in your prompt to specify the action on the mailbox.
You can type a forward slash (/) (CIQ) and begin typing the name or email address of the person you want to use your prompt on. Context IQ (CIQ) suggests people based on how well their names or email addresses match what you're typing.
