Share your notes in OneNote for Mac

OneNote for Mac offers you several options for sharing your notes, depending on whether you want others to be able to collaborate with you, or whether you just want others to be able to read your notes on their own.

Share notes for collaboration

On the menu bar, click File, point to Share, and then do either of the following:

  • To send link to notebook:
    1. Click Send Link to Notebook.
    2. In the dialog box that opens, select the people you want to send the link to.
    3. From the dropdown list, select Can Edit to let them make changes to your notebook. Else select Can view to allow them to only view and not edit your notebook.
    4. Click Send to send the invitation from you default email app or click Copy link to create a sharing link that you can paste into any message, a document, or a file. People who click this link will be able to view and edit your notes.

Share notes for reading distribution

On the menu bar, click File, point to Share, and then do either of the following:

  • Click Send Page as Email Message to create an email that contains a snapshot of the current page in your notebook.
  • Click Send Page PDF to create an Adobe PDF (Portable Document Format) file snapshot of the current page in your notebook. This file will be sent as a read-only email attachment to specific people you select. Recipients of this file will be able to view and read it on any computer or mobile device they choose.

Manage notebook access

On the menu bar, click File, point to Share, and select Manage Notebook Access.

  1. In the Manage Access dialog box, click Share and select the people you want to send the link to.
  2. From the dropdown list, select Can Edit to let them make changes to your notebook. Else select Can view to allow them to only view and not edit your notebook.
  3. Click Send to send the invitation from you default email app or click Copy link to create a sharing link that you can paste into any message, a document, or a file. People who click this link will be able to view and edit your notes.
  4. To manage access for people, groups or to view the shared link, in the Manage Access dialog box, click the Filter by dropdown list and select either People, Groups, or Links.
  5. To grant direct access to people without the link, in the Manage Access dialog box, select the Grant Access icon at the top right corner. In the To field, add the names and from the dropdown, select either Can edit or Can view. Select Grant access.
