An easy way to reduce the size of your Inbox is to manually archive your email messages, contacts, and other items to an Outlook for Mac Data File (.olm) on your Mac. You can save an .olm file to any location on your Mac or on a different machine for safekeeping.

When you export email from an IMAP account in Outlook to a .pst file, you may not see the messages after you import the file back into Outlook.

This article focuses on sharing files or folders over a Local Area Network (LAN), such as between computers connected on the same home or workplace network. To share files over the Internet—for example, with friends or family—use OneDrive. For details, see Share OneDrive files and folders.

What is Version History in OneDrive and SharePoint? With version history, you can see and restore older versions of your files stored in OneDrive or SharePoint. Version history works with all file types, including Microsoft 365 files, PDFs, CAD files, photos, videos, and more.

Note Currently, Outlook for Mac supports only the Mail module. If you moved folders, calendar items, contacts, tasks, or notes to your archive in any other version of Outlook, such as Outlook for Windows, you won't be able to view them in the online archive mailbox using Outlook for Mac.

To transfer messages and other items from a Windows-based computer to a Mac, Outlook for Mac can import Outlook Data Files (.pst) that were created in Outlook for Windows.

First time using the archive? If you haven't previously set up an archive folder for an email account, you may get a prompt to create it. Choose one of the following: Continue. A new folder will appear in your folder list for that email account. You'll have to repeat this process to create an archive folder for each of your email accounts.
