Create and edit appointment types

In Virtual Appointments, you can create and edit services to make it easy for your staff or customers to schedule the right kind of appointment.

Add a service

  1. Go to Teams and select Virtual Appointments.

  2. Select Manage > Services.

  3. Select Add service next to the type of service you want to add (Scheduled or On-demand).

    Important:  On-demand requires a Teams Premium license. See Microsoft Teams Premium - Overview for administrators for more information.

    • Service name – Enter the name of the service you'll be providing.

    • Location – Add a location if you want an in-person option.

    • Confirmation message – Write a confirmation note that a customer will receive after an appointment is scheduled. Include links or info they should know for this appointment type.

    • Reminders – Select Add an email reminder to send customers an email before the service. You can configure when the email should be sent.

    • Allow for text message notifications - Turn this toggle on to notify customers via text message about their appointment.

    • Forms - Select Link a form to add a form to the scheduled service that customers can fill out ahead of time. 

      Note: On-demand meetings only require you to add a title before saving.

  4. Select Save.

Note: Customers can opt out of receiving texts at any time. Preview the message your customers will receive beforehand. To opt out of sending customers text messages, turn off the Allow for text message notifications toggle. 

Edit a service

You can make changes to your service details anytime. To edit a service:

  1. In Teams, select Virtual Appointments.

  2. Select Manage > Services.

  3. Select Edit appointment type  Screenshot of Edit pencil icon.

  4. Update or edit the appointment details.

  5. Select Save.

Note: If you want to change the type of service from Scheduled to On-demand or vice-versa, delete the appointment and re-create it with the other appointment type
