It takes just three steps to share a workbook.
Step 1. Upload the workbook
Using a web browser, upload or create a new workbook on OneDrive, OneDrive for Business, or a SharePoint Online library.
Step 2: Share it
- Select the filename of the uploaded workbook. It will open in a new tab in your web browser.
- Select the Edit in Excel button. If you don't have this button, select Edit in Browser then select Edit in Excel after the page reloads.
- Select Open Microsoft Excel.
- When the file opens in the Excel program, you may see a yellow bar indicating that the file is in Protected View. If so, you can select Enable Editing.
- Select Share in the upper-right.
- Select Invite People, then type email addresses and separate each with a semicolon.
- Select Can Edit. if you intend to allow that.
- When you're done, select the Share button.
Note
- To capture the link yourself. Select Share in the upper-right then select Copy Link > View and Edit.
- When you select the Share button, an email message will be sent to each person. The message will come from your email address. You will also receive a copy of the message.
Step 3: Other people can open it
Recipients will get an email message inviting them to open the workbook by clickin the included . They can click the link. A web browser will open displaying the file via Excel for the web. To edit in the browser, they can click Edit Workbook > Edit in Browser. Alternatively, to open it in the Excel app, they can click Edit Workbook > Edit in Excel.
Tip
Recipients using the latest version of Excel for Microsoft 365 can open the file directly in the Excel app. They'll simply click File > Open... > Shared, then select a file that has been shared by another person.
Multiple people can use co-authoring to concurrently edit a workbook. To do so, all participants must have a version of the Excel app that supports co-authoring, such as Excel for Android, Excel for iOS, Excel Mobile, and Microsoft 365 subscription. Otherwise, recipients can click Edit Workbook > Edit in Browser to edit the file in Excel for the web.
