This article provides answers to common questions on the following topics.

What platforms can I use with DAX Copilot for Epic?  DAX Copilot for Epic is available within the Epic Haiku and Epic Canto mobile apps – which require an iOS mobile device. Please consult with your Epic administrator or Epic TS for support with Haiku or Canto.

Does DAX impact my phone’s battery life?  No. The phone only captures the recording. All processing is done on secure DAX back-end servers, so DAX does not impact the battery life any more than using Haiku or Canto.

What happens if I lose my Wi-Fi connection?  Wi-Fi is required to select a patient. Once you open the patient encounter in Haiku or Canto, you can start and stop recordings even if Wi-Fi is lost. Once a Wi-Fi connection is re-established, the recordings will be uploaded to DAX for processing. After uploading, the audio file is permanently and securely deleted from the mobile app.

Will recording continue if my device goes to sleep or locks while recording?  Yes. The display does not have to be on for DAX to record. Recordings in progress will continue until you stop the recording or you reach the 75 minute maximum. (TIP: To adjust your iOS device sleep settings, go to Settings > Display and Brightness > Auto-Lock).

What happens if I receive an incoming call?  Any activity that interrupts the microphone will stop DAX from recording. We recommend that after any interruptions, you check the DAX recording timer to confirm that the recording timer is counting upwards and restart recording if necessary.

Can I pre-chart/pre-edit?  Yes, you may pre-chart with or without DAX. You can create pre-chart recordings using DAX (recommended), or directly pre-chart in your note in Hyperdrive using the editing tools you have available. Additional recordings you create during or after the encounter will regenerate the appropriate SmartSections.

When can I record? You can record at any time (pre-encounter, during the encounter or post encounter).

Can I have multiple recordings for a patient?  ​​​​​​​Yes. DAX generates summaries from the combined transcript of all recordings. Each subsequent recording will regenerate the appropriate DAX summary section(s) and incorporate information from the new recording as needed.

Can I use Epic SmartTools as inputs for DAX?  No, DAX does not import any Epic SmartTool or free text content directly from your Epic system. However, information you see in Epic that you verbalize or discuss while recording with DAX will be included in the transcript that DAX considers when it generates the sections for your note.

Can I record while navigating to other applications?  DAX can record in the background so long as it still has access to the microphone. There will be an orange microphone icon at the top of the screen indicating you are still recording.

Can I use DAX with multiple historians in the room?  Yes, there can be multiple historians contributing to the conversation (e.g., a Pediatric visit with parents present). DAX doesn’t make any kind of prioritization between the historians, so their contributions are all treated equally.

Can I use DAX on telemedicine encounters?  Yes, as long as DAX can accurately record the conversation, you can use DAX in Haiku or Canto to document a telemedicine visit you conduct on another device. Position your mobile device so the microphone can hear the entire conversation and follow your organization’s policy on consent and privacy before recording with DAX. As long as the audio is loud and clear enough, DAX will transcribe the conversation and generate clinical summaries for your note.

Can I use DAX with a translator?  Yes, but if you are not recording in Spanish the pertinent content must be voiced clearly in English, and you will need to carefully review your note. Non-English conversation will appear in the transcript and may contribute to errors when the AI generates the sections in your note. (NOTE: DAX Copilot supports ambient recording in Spanish or a combination of English and Spanish.)

Do I need to be in Hyperdrive to record conversations?  No, you do not need to be in Hyperdrive to make the recording. You only need to select a patient in Haiku or Canto, enter the DAX activity, and start the recording.

Can multiple users use DAX Copilot to contribute to the same encounter note?  No, only one contributor can use DAX Copilot to record content for an encounter. Their recordings and updates are the only ones that contribute to the content that appears in the SmartSections in the encounter note. However, the DAX contributor can create additional recordings to capture information provided by other clinical team members (e.g. an HPI recap with a resident or fellow, or a monologue recording to capture information from a conversation with a nurse or MA), either before or after recording the patient encounter. DAX will generate clinical summaries for the note from the combined transcript of all recordings. Additional users can still contribute to the note within Hyperdrive if their Epic profile and system settings allow. Please reach out to your Epic TS to enable and configure the following for multiple contributors:

  • Ambient functionality security points (mandatory) – as outlined in the Sherlock checklist.

  • “User Allowlist” (-) – must be used in addition to the security points to enable multiple users to contribute to the same encounter note.

What do I do if I accidentally record on the wrong patient?  Follow your organization’s Health Information Management (HIM) protocol for chart corrections.

Can I add additional recordings after I stop my initial recordings?  Yes, you can add multiple recordings for a patient using Haiku or Canto. Each new recording updates the DAX summaries by incorporating additional information, and these updates will reflect in your Epic note as long as you haven't manually edited the corresponding SmartSections in Hyperdrive. Recordings can be made even when the patient is not present, and a single recording can apply to multiple sections of your note, reducing the need for manual edits. To ensure smooth syncing, complete all recordings before making edits in DAX or Epic. If you edit in DAX before adding a recording, you can restore your previous edits copying and pasting from the Version History in your timeline. However, if you edit SmartSections in Epic before recording, you will need to delete and re-add them to receive updated content from DAX. (TIP: Avoid manual edits unless you're certain no further recordings are needed.)

Can I use a Bluetooth device while recording an encounter?  No. Temporarily disconnect any Bluetooth device with a microphone that’s connected to your mobile device before you begin ambient recording – including headsets, AirPods, or hearing aids. DAX uses the microphone on your mobile device, and any Bluetooth device with a microphone that’s connected will prevent or interrupt ambient recording with DAX.

How does DAX handle “chit-chat” with patients?  DAX does a good job filtering out conversation that isn’t relevant to the medical evaluation taking place when it generates the summaries. However, the more organized and to the point a conversation is, the more concise and to the point the DAX content will be.

Is there a limit on the number of recordings for a given patient encounter?  No, you can create multiple recordings for a patient encounter. After each recording, the DAX regenerates the relevant note section(s) to include any additional relevant content.

Is there a limit to the length of the recordings?  Yes. For optimal results, limit the cumulative length of all recordings for an encounter to 45 minutes. An alert will appear in Haiku or Canto when the cumulative length reaches 45 minutes – at which point recording will continue for transcription purposes only and not contribute to the generated note summaries. When the cumulative recording length reaches 75 minutes recording will stop, and another alert will appear in Haiku or Canto and in Hyperspace.

Can I record an encounter in Spanish?  ​​​​​​​Yes. Select the gear icon in DAX Copilot in Haiku or Canto, toggle the English/Español switch to <ON>, then start recording. When English/Español is enabled, DAX supports ambient recording in Spanish or a combination of English and Spanish in the same recording.

Can I switch back and forth between DAX Copilot and Dragon Medical One (DMO)?  We recommend that you complete all ambient recordings in DAX Copilot before switching to DMO. DAX Copilot generates summaries from your ambient recordings; it does not transcribe verbatim. When you complete recording, use DMO in the DAX Copilot activity in Hyperdrive or the Epic Note activity to dictate additional content verbatim and use voice commands to edit the note content, insert auto texts, or invoke step-by-step commands. The best practice is avoid making any edits in Hyperdrive until you are positive you do not want to do any other recordings with DAX Copilot.

How does DAX Copilot format the content in note sections?  DAX Copilot employs AI algorithms to generate clinical documentation summaries from the transcript of your ambient recordings. Your Primary specialty, in your DAX Copilot profile determines the AI model used to generate your clinical summaries and their default formatting. How can I personalize the formatting within the note sections that DAX Copilot generates?  The Note style & format settings in DAX Copilot offer a wide variety of formatting options for each report section that you can save and apply automatically or on demand. You can also use any editing tools available to you to format the generated note. (For more information on style and personalization options, see Personalize your notes in DAX Copilot for Epic.)

Are there other ways I can personalize the way my note sections generate?  Yes. DAX Copilot offers Customizable templates you can personalize to generate summaries in your preferred style for the Allergies, Physical Exam, and Assessment and Plan sections of your note. Is there a quick way to edit pronouns?  Yes. You can specify your preference for how pronouns appear in your notes in the Note style & format section in Settings. To quickly edit the way pronouns appear in your note sections, select Change pronouns, then choose from “he/him,” “she/her,” or “they/them.” (Learn about the AI capabilities in DAX Copilot.)

How does DAX handle problem-based charting?  DAX Copilot includes style settings to create summaries that are problem-based. After your note generates, you can quickly copy and paste plan updates from the DAX Copilot A&P SmartSection in your note to the associated problem in the PROBLEM LIST activity in Hyperdrive, or cut and paste them into Epic’s Diagnosis Aware Note (DAN) SmartSections in your note if they are enabled by your administrator.

How do I know what text in my note was completed by DAX?  DAX SmartSection content initially appears with highlighting in your Epic note. Edits within the SmartSection in Hyperdrive are tracked and attributed to the author. Once the note is signed, you can use the typical “hover to discover” method for attribution.

How do I know when the DAX content is available for use in my note?  In the patient chart, you will see a pop-up notification in the upper right of the chart indicating that the recording was processed and the note is ready. You can also add a column on your provider schedule that shows the status of the DAX content.

Can I use Epic SmartTools in a note template designed for DAX Copilot?  Yes, all Epic note tools are available to use in your note template.

Do I need to select the refresh button in Hyperdrive to pull in the content from DAX?  No, the refresh button isn’t needed to refresh DAX content in your Epic note. When a recording completes in DAX Copilot, the summary sections in DAX Copilot will regenerate, and the SmartSections in your note in Hyperdrive will refresh. If you have made any edits within the SmartSection in Epic, you can delete and re-add the SmartSection to allow updates from a new recording to sync with your Epic note. If you choose to edit summaries in the DAX Copilot activity, select Sync to EHR to transfer them to Epic.

Can I search the summary and transcript?  You can use CTRL+F (in Windows) or ⌘+F (in iOS) to search the summaries in the Note or Transcript tabs in DAX Copilot, and the search results will be highlighted.

Why does content appear in the transcript but not in the summary?  Some content in the transcript will not appear in the summaries because the AI model did not recognize the content as being relevant to the medical document. For example, chit-chat is filtered out. It’s best practice to review the transcript to ensure that all pertinent information was captured in the summary.

Does DAX learn from my edits?  Yes. When you provide in-app feedback and comments or make necessary edits to a generated clinical summary in the DAX application, those actions contribute to improvements in the AI algorithms for all DAX users. The more feedback users provide, the more DAX can improve.

Do the AI summaries improve over time?  Yes. The generative AI models in DAX Copilot continuously improve as our dedicated clinical integrity teams monitor customer feedback and refine the models for accuracy and effectiveness. Updates are thoroughly tested to meet responsible AI standards before they’re released. Your actions can also improve the quality of your personal summaries:

  • Ensure your Primary specialty setting in DAX is accurate in Settings > Profile.

  • Adopt some best practices while recording with DAX Copilot.

  • Personalize the Note style & format settings for your note sections, and apply them as necessary.

Will I receive any follow-up when I provide in-app feedback?  Your feedback is very important, and every feedback submission is reviewed by our Research team for improvement prioritization. We cannot respond to each submission, but please know it is vital to DAX enhancements. Also note that the in-app feedback is not a way to get immediate assistance with an issue. There are a variety of support options for that purpose.

Where do I go if I have questions about editing or if I would like more training information?  If you would like more training information, you have multiple ways to obtain this information.

  • Select the Help and feedback (?) question mark icon in the DAX Copilot activity and navigate to the Resources section to access in-app training and resources.

  • Visit the DAX Copilot drop-in consulting sessions, available M-F, 8a-7p ET, excluding holidays. No appointment is necessary, and our consultation staff will be glad to assist you.

  • Schedule an instructor-led virtual 1:1 training with a Microsoft consultant.

What options do I have to edit my Epic note after it contains DAX content?  You can edit a DAX SmartSection directly inside Hyperdrive by clicking inside the highlighted section text – using all tools available to you today including your keyboard, SmartTools, and speech-to-text software like Dragon Medical One.

Where are the recordings being stored? Recordings are stored on Microsoft Azure Servers with stringent data protection requirements.

How long is the recorded audio, note summary text, and transcript stored?  All information for the DAX session is retained for 30 days then deleted. Administrators can contact Microsoft support to request copies of audio files within the 30-day timeframe.

How is the transmitted data protected?  All recording/data is securely encrypted using industry standard methods when transmitting to our secure data centers for processing.

How long can I access the transcript of the recording(s)?  The combined transcript of all recordings for an encounter is available in the DAX Copilot activity in Epic for 30 days. To review the transcript, open the encounter and launch the DAX Copilot activity, then navigate to the Transcript tab.

Is there the ability to play a recording back? No, not at this time.

How do I know when DAX is recording?  In Haiku or Canto, the recording timer in DAX counts upwards while recording is in progress. In Hyperdrive, the record indicator in the upper left-hand corner (next to the Epic button) will be green or yellow and state “listening”.

Can I stop recording if the patient requests it for a certain portion of the encounter?  Yes. You can stop recording at any time. You can start recording again later in the encounter or after the encounter ends to capture additional details or actions you performed in a recap or summary for your note.

What happens if I forget to turn off the microphone?  The recording will continue until you stop recording, or the cumulative length of recording reaches 75 minutes.

Is there a possibility that another patient or outside conversation could be recorded inadvertently?  ​​​​​​​Yes, if you walk around with the recording turned on may capture the additional audio and there is a risk that side conversation will be captured into the summary and transcript. You will see this when you review your note summaries or transcript. If this occurs, you can edit out any information you do not want in the summary.

Is the risk of recording extraneous conversation the same as we have today with Dragon?  Yes, although it is more likely you will forget to turn off Dragon than you would forget to turn off DAX.

If I forget to stop recording, will it stop when I select a new patient from the schedule?  Haiku and Canto will not allow you to navigate away from the recording screen while a recording is in progress, so it’s impossible to select another patient without first stopping the current recording. (Reminder: Recording will automatically stop when the cumulative length reaches 75 minutes.)
