Note
SharePoint Knowledge Base is in Frontier preview, and availability might vary in your organization. This means that you might not yet see this feature or it might look different from what is described in this article. If you don’t see the option to create a knowledge base, contact your SharePoint administrator.
Autopilot is in preview and is available to a limited number of organizations. If you don’t see Autopilot in the Copilot app, use Copilot in SharePoint instead.
If your organization has Autopilot in the Microsoft 365 Copilot app, you can ask Autopilot to create a knowledge base, add sources, update KB pages, check the knowledge base’s health, and answer questions about it. Autopilot also uses the Knowledge Base skill. The knowledge base that Autopilot creates or updates is the same knowledge base that you open in SharePoint. To write or edit KB pages yourself, import content, comment, or share KB pages, open the knowledge base in SharePoint.
Before you begin
Ensure that:
- You have access to Autopilot in the Microsoft 365 Copilot app.
- Autopilot has the Knowledge Base skill. To check, ask Autopilot whether it has the Knowledge Base skill.
- You have Copilot credits available for actions that create or update a knowledge base.
- You have permission to create content on the site or edit the knowledge base, and you can access your sources.
Create or update a SharePoint knowledge base with Autopilot
Use Autopilot to create a new knowledge base or manage an existing one. Because Autopilot works outside SharePoint, provide the knowledge base name and a link. When you create a knowledge base, provide its name and a link to the SharePoint site where you want it. When you first ask Autopilot to manage an existing knowledge base, include its name and a link to the knowledge base. After that, refer to the knowledge base by name. Autopilot remembers which knowledge base you mean.
Create a SharePoint knowledge base with Autopilot
Open the Microsoft 365 Copilot app, and then open Autopilot.
Ask Autopilot to create a knowledge base. Include a name for the knowledge base, a link to the SharePoint site you want to use, and links to your sources.
Tip
For example:
“Create a knowledge base named Zava Product Support on the SharePoint site at [SharePoint Site URL] from the files in [folder URL]. Organize it by product area.”
If Autopilot asks you to confirm an action, review it before you approve it.
When Autopilot finishes, open the knowledge base in SharePoint and review the KB pages, source links, and any conflicts.
Manage an existing SharePoint knowledge base with Autopilot
Open the Microsoft 365 Copilot app, and then open Autopilot.
Tell Autopilot which knowledge base to work with. The first time, ask Autopilot to manage it, and include its name and a link to it. After that, use its name.
Tip
For example, the first time:
“Help me manage the Zava Product Support knowledge base at [Knowledge Base URL].”
Describe what you want Autopilot to do with the knowledge base, such as add sources, answer a question, or check its health. Include links to any new sources.
Tip
For example:
“Add the documents in [folder URL] to the Zava Product Support knowledge base. Summarize the proposed changes before you update any KB pages.”
“Using the Zava Product Support knowledge base, what is the current escalation process for [issue]? Include links to the KB pages you used.”
“Check the health of the Zava Product Support knowledge base and show me what needs attention.”
If Autopilot asks you to confirm an action, review it before you approve it.
After Autopilot updates the knowledge base, open it in SharePoint and review the affected KB pages, source links, and any conflicts.
Important
Run one update at a time on a knowledge base. If Autopilot or Copilot in SharePoint is already updating the knowledge base, wait for that update to finish before you start another one. Updates happen only when you ask, and AI-generated content can be incomplete or incorrect, so review KB pages before you share them.
