How sharing a notebook affects file access
Sharing a notebook doesn’t just share the notebook, it can also give others access to files inside it. Here’s what you need to know:
Source types by plan
- Copilot Chat — standard sources (PDF, Word, Excel, PowerPoint, Copilot Pages, images, audio, external URLs)
- Microsoft 365 Copilot — standard sources plus premium sources (Teams, SharePoint/OneDrive content, internal URLs)
Sharing a notebook
When you share a notebook, recipients are automatically invited to all linked files, so Copilot can provide grounded answers right away. A few things to keep in mind:
- You must have sharing permissions for each linked file. If you don't, recipients will need to request access to those files individually.
- Some linked files may remain restricted if permissions can't be transferred automatically.
- Premium sources are only accessible to Microsoft 365 Copilot users.
- If your notebook includes a OneNote section or page, share the entire OneNote notebook so recipients can access that content. Learn more about how to share a OneNote notebook.
