This article provides answers to common questions on the following topics.
Mobile devices
What platforms can I use with DAX Copilot for Epic? DAX Copilot for Epic is available in the Epic Haiku and Epic Canto mobile apps for iOS and Android devices. Contact your Epic administrator or Epic TS for support with Haiku or Canto.
Does DAX impact my phone’s battery life? No. Your device only captures the recording. All processing occurs on secure DAX servers, so DAX has no greater impact on battery life than using Haiku or Canto.
What happens if I lose my Wi-Fi connection? Wi‑Fi is required to open a patient encounter. After the encounter is open in Haiku or Canto, you can start and stop recordings even if the connection is lost. Recordings upload automatically when Wi‑Fi is restored. After the upload is complete, the audio file is securely and permanently removed from the mobile app.
Will recording continue if my device goes to sleep or locks while recording? Yes. DAX Copilot continues recording even if your device locks or the display turns off. Recording continues until you stop it or the 120‑minute recording limit is reached. (TIP: Adjust your mobile device lock/sleep settings if necessary.)
What happens if I receive an incoming call? Any activity that interrupts microphone access, such as an incoming phone call, stops the recording. After the interruption ends, verify that the DAX recording timer is counting upward and restart the recording if necessary.
Workflow options
Can I pre-chart or pre-edit? Yes. You can pre-chart with or without DAX Copilot. You can create a pre-encounter recording in DAX Copilot (recommended) or enter content directly in your note using the editing tools available in Hyperdrive. Additional recordings made during or after the encounter regenerate the appropriate SmartSections.
When can I record? You can record before, during, or after the encounter.
Can I have multiple recordings for a patient? Yes. DAX Copilot generates summaries from the combined transcript of all recordings. Each additional recording regenerates the appropriate summary sections and incorporates new information as needed.
Can I use Epic SmartTools as inputs for DAX? No. DAX Copilot doesn't import Epic SmartTool content or free-text content directly from Epic. However, information that you verbalize or discuss during a recording becomes part of the transcript and can contribute to the generated note content.
Can I record while navigating to other applications? Yes. DAX Copilot can continue recording in the background as long as it maintains access to the microphone. An orange microphone icon appears at the top of the screen while recording is active.
Can I use DAX with multiple historians in the room? Yes. Multiple historians can participate in the conversation, such as parents during a pediatric visit. DAX Copilot treats all participant contributions equally when generating documentation.
Can I use DAX on telemedicine encounters? Yes. You can use DAX Copilot in Haiku or Canto to document telemedicine visits conducted on another device. Position your mobile device so the microphone can clearly capture the conversation, and follow your organization's consent and privacy requirements before recording. As long as the audio is clear, DAX Copilot can transcribe the conversation and generate clinical summaries.
Can I use DAX with a translator? Yes. If the recording isn't conducted in Spanish, clinically relevant information should be clearly stated in English, and you should carefully review the generated note. Non-English conversation appears in the transcript and can increase the likelihood of AI-generated errors. Note: DAX Copilot supports ambient recording in Spanish and mixed English-Spanish conversations.
Do I need to be in Hyperdrive to record conversations? No. You only need to select a patient in Haiku or Canto, open the DAX activity, and start recording.
Can multiple users use DAX Copilot to contribute to the same encounter note? No. Only one DAX Copilot contributor can record content for an encounter. That user's recordings and updates are the only content used to generate SmartSections for the note. However, the DAX Copilot contributor can create additional recordings to capture information from other clinical team members, such as residents, fellows, nurses, or medical assistants. DAX Copilot generates clinical summaries from the combined transcript of all recordings. Additional users can still contribute to the note in Hyperdrive if their Epic profile and system settings allow. Contact your Epic TS to enable and configure the following settings for multiple contributors:
- Ambient functionality security points (required), as outlined in the Sherlock checklist.
- User Allowlist (-), which must be used in addition to the security points to enable multiple users to contribute to the same encounter note.
Dictation and recording
What should I do if I accidentally record on the wrong patient? Follow your organization’s Health Information Management (HIM) protocol for chart corrections.
Can I add more recordings after I stop my initial recordings? Yes. You can create multiple recordings for a patient by using Haiku or Canto. Each recording updates the DAX summaries with extra information and updates your Epic note unless you manually edit the corresponding SmartSections in Hyperdrive. You can make recordings before, during, or after the patient encounter, and a single recording can contribute to multiple sections of the note. Complete all recordings before editing content in DAX Copilot or Epic. If you edit in DAX Copilot before adding another recording, you can restore your previous edits from Version History. If you edit SmartSections in Epic before recording again, you must delete and re-add them to receive updated content from DAX Copilot. Tip: Avoid manual edits until you're certain no extra recordings are needed.
Can I use a Bluetooth device while recording an encounter? No. Disconnect any Bluetooth device with a microphone, such as a headset, AirPods, or hearing aids, before starting ambient recording. DAX Copilot uses your mobile device microphone, and connected Bluetooth microphones can prevent or interrupt recording.
How does DAX handle “chit-chat” with patients? DAX Copilot generally filters out conversation that isn't relevant to the clinical encounter when generating summaries. More focused conversations typically result in more concise note content.
Is there a limit on the number of recordings for a given patient encounter? No. You can create multiple recordings for a patient encounter. After each recording, DAX Copilot regenerates the appropriate note sections to incorporate extra relevant information.
Is there a limit to the length of the recordings? Yes. An alert appears in Haiku or Canto when the cumulative recording length reaches 90 minutes, indicating that recording will stop in 30 minutes. At 120 minutes, recording stops automatically and an alert appears in both Haiku or Canto and Hyperspace.
Can I record an encounter in Spanish? Yes. In DAX Copilot in Haiku or Canto, select the gear icon and turn the English/Español setting on before you start recording. When enabled, DAX Copilot supports ambient recording in Spanish or a combination of English and Spanish within the same recording.
Can I switch back and forth between DAX Copilot and Dragon Medical One (DMO)? Complete all ambient recordings in DAX Copilot before switching to Dragon Medical One (DMO). DAX Copilot generates clinical summaries from ambient recordings rather than verbatim transcripts. After recording is complete, you can use DMO in the DAX Copilot activity or Epic Note activity to dictate extra content, edit note text, insert AutoTexts, and use voice commands. As a best practice, avoid editing the note in Hyperdrive until you're certain no extra DAX Copilot recordings are needed.
Note formatting
How does DAX Copilot format the content in note sections? DAX Copilot uses AI to generate clinical documentation summaries from the transcript of your ambient recordings. Your primary specialty setting in your DAX Copilot profile determines the AI model used to generate your clinical summaries and their default formatting. (Learn more about specialty optimization in DAX Copilot.)
How can I personalize the formatting within the note sections that DAX Copilot generates? The Note settings in DAX Copilot provide a variety of formatting options for each report section that you can save and apply automatically or on demand. You can also use your available editing tools to modify generated content. For more information, see Configure your note style in DAX Copilot for Epic.
Are there other ways I can personalize the way my note sections generate? Yes. DAX Copilot offers note section templates that allow you to personalize how the Allergies, Physical Exam, and Assessment and Plan sections are generated. (Learn about note section templates.)
Is there a quick way to edit pronouns? Yes. You can specify how pronouns appear in your notes by navigating to *Settings > Note. To quickly edit pronouns, go to the Library, select Change pronouns, and then choose from “he/him,” “she/her,” or “they/them.” (Learn about the AI capabilities in DAX Copilot.)
How does DAX handle problem-based charting? DAX Copilot includes note style options that support problem-based charting. After your note is generated, you can copy and paste plan updates from the DAX Copilot A&P SmartSection into the associated problem in the PROBLEM LIST activity, or into Epic's Diagnosis Aware Note (DAN) SmartSections if your administrator enables them.
Reviewing and editing your note
How do I know what text in my note was completed by DAX? DAX SmartSection content initially appears highlighted in your Epic note. Edits made within the SmartSection in Hyperdrive are tracked and attributed to the author. After you sign the note, you can use the standard hover functionality to view attribution.
How do I know when the DAX content is available for use in my note? A notification appears in the upper-right corner of the patient chart when the recording is processed and the note is ready. You can also add a provider schedule column that displays the status of DAX content.
Can I use Epic SmartTools in a note template designed for DAX Copilot? Yes, you can use all Epic note tools in your note template.
Do I need to select the refresh button in Hyperdrive to pull in the content from DAX? No. The refresh button isn't required. When a recording is processed, DAX Copilot regenerates the summary sections and automatically updates the corresponding SmartSections in Hyperdrive. If you edit a SmartSection in Epic, delete and re-add it to receive updates from a new recording. If you edit summaries in the DAX Copilot activity, select Sync to EHR to transfer those changes to Epic.
Can I search the summary and transcript? Yes. Use CTRL+F (Windows) or ⌘+F (Mac) to search the note or transcript in DAX Copilot. Matching results are highlighted.
Why does content appear in the transcript but not in the summary? Some transcript content might not appear in the generated summaries if the AI determines it isn't clinically relevant. For example, casual conversation is typically filtered out. Review the transcript to ensure all relevant information is reflected in the summary.
Does DAX learn from my edits? Yes. Feedback, comments, and edits you submit in DAX Copilot help improve the AI models and user experience. The more feedback users provide, the more the product can improve over time.
Do the AI summaries improve over time? Yes. DAX Copilot AI models continuously improve as clinical integrity teams monitor customer feedback and refine the models for accuracy and effectiveness. Updates are thoroughly tested before release to meet responsible AI standards.
You can also improve the quality of your personal summaries:
- Ensure your Primary specialty setting is accurate in Settings > Profile.
- Follow best practices for recording in DAX Copilot.
- Personalize your Note settings and apply them as needed.
Will I receive any follow-up when I provide in-app feedback? Every feedback submission is reviewed by the Research team and helps inform future improvements. While they can't respond to each submission individually, your feedback is valuable and contributes to product enhancements. In-app feedback shouldn't be used to request immediate assistance. Use the appropriate support resources if you need help with an issue.
Where do I go if I have questions about editing or if I would like more training information? If you'd like additional training or assistance, the following resources are available:
Select the Help and feedback (?) question mark icon in the DAX Copilot activity and navigate to the Resources section to access in-app training and resources.
Visit the DAX Copilot drop-in consulting sessions, available Monday–Friday, 8 AM–7 PM ET, excluding holidays. No appointment is necessary, and the consultation staff will be glad to assist you.
Schedule an instructor-led virtual 1:1 training with a Microsoft consultant.
Note
For support with Epic applications contact your internal Epic Analyst.
What options do I have to edit my Epic note after it contains DAX content? You can edit DAX SmartSections directly in Hyperdrive using the tools you already use today, including your keyboard, SmartTools, and speech recognition software such as Dragon Medical One.
Retention and playback
Where are the recordings stored?
Microsoft Azure servers that meet stringent data protection requirements store the recordings.
How long are the recorded audio, note summary text, and transcript stored? The system retains audio recordings, transcripts, and note summary content for 30 days and then deletes them. During that 30-day period, administrators can contact Microsoft Support to request copies of audio files.
How is the transmitted data protected? The system encrypts all recordings and data by using industry-standard methods during transmission to secure data centers for processing.
How long can I access the transcript of the recordings? You can access the combined transcript for an encounter in the DAX Copilot activity in Epic for 30 days. To view the transcript, open the encounter, launch the DAX Copilot activity, and select the Transcript icon.
Is there the ability to play a recording back? No. DAX Copilot doesn't currently support audio playback.
Security and compliance
How do I know when DAX is recording? In Haiku or Canto, the recording timer in DAX Copilot counts upward while recording is in progress. In Hyperdrive, the recording indicator next to the Epic button is green or yellow and displays Listening.
Can I stop recording if the patient requests it for a certain portion of the encounter? Yes. You can stop recording at any time and resume later in the encounter or after the encounter to capture additional information, actions performed, or a summary for your note.
What happens if I forget to turn off the microphone? Recording continues until you stop it or the cumulative recording length reaches 120 minutes.
Is there a possibility that another patient or outside conversation could be recorded inadvertently? Yes. If you leave recording enabled while moving between locations, you might capture additional conversations in the transcript and note summaries. Review generated content carefully and remove any information that shouldn't be included in the patient record.
Is the risk of recording extraneous conversation the same as we have today with Dragon Medical One? Yes. The risk is similar to other speech documentation workflows, although users might be less likely to forget that DAX Copilot is recording because recording status is clearly displayed.
If I forget to stop recording, does it stop when I select a new patient from the schedule? No. Haiku and Canto don't allow you to navigate away from a recording in progress, so you must stop the current recording before selecting another patient. Reminder: Recording automatically stops when the cumulative recording length reaches 120 minutes.
