Assign different meeting roles in a Teams meeting to give people specific permissions. 

There are three roles to choose from: co-organizerpresenter, and attendee. Co-organizers and presenters share most organizer permissions, while attendees are more controlled.

*Presenters can only see or admit people from the meeting lobby if they're signed into Teams.

Change meeting roles

Before a meeting

You'll need to send out the meeting invite before you can assign roles.

To assign roles:

  1. Open the meeting in your Teams calendar.

  2. Select Meeting options.

  3. Select Roles People or Show Participants button.

  4. Next to Choose co-organizers, search and choose people you want to make co-organizers.

  5. Next to Who can present?, designate who can present during the meeting.

What happens

Everyone

Anyone who has access to the meeting link will join the meeting as a presenter. 

People in my organization

Only people in your org will be presenters. External participants will join as attendees.

Specific people

Only people you choose from the list of invitees will be presenters. Everyone else will join as attendees.

Only me

Only the organizer will be a presenter. All other participants will join as attendees.

A couple of things to keep in mind:

  • Send a meeting invite directly to anyone you want to make a presenter.

  • Co-organizers can't change a meeting before it starts.

  • External participants can't be presenters or co-organizers.

  • The role of meeting organizer can't be changed.

Note: The ability to select specific presenters isn't available for channel meetings. 

During a meeting

There are two ways to change someone's role during a meeting:

  • Select People  People or Show Participants button in the meeting controls. Hover over a name and select More options  Microsoft Teams more options icon. Select Make a presenter or Make an attendee.

  • Go to your Teams calendar. Double-click the meeting and select Meeting options Roles  People or Show Participants button. Add a co-organizer from the Choose co-organizers dropdown menu. That person will be notified that they can present content and help facilitate the meeting.

Notes: 

  • In recurring meetings, a role reassignment made from Meeting options in your Teams calendar will apply to all future occurrences.

  • In recurring meetings, a role reassignment made from People  People or Show Participants button in the meeting controls will only affect that specific meeting occurrence.

  • If someone exits the meeting and rejoins later, they'll rejoin with the last role they were assigned.
