To give another educator access to a OneNote Class Notebook when the original educator is leaving or changing classes, use a planned co-teacher handoff. This keeps students working in the notebook they already use while the incoming educator joins the class.
Important
If the class is still active, consider keeping the original educator's school account active through the end of the term. This helps preserve notebook storage, sync, and student access while the incoming educator finishes the class with students.
Recommended handoff
- Before the educator leaves, add the incoming educator as a co-teacher or additional educator on the Class Notebook.
- Ask the incoming educator to open the notebook and confirm they can access the Content Library, Collaboration Space, and the student notebooks they need.
- Continue using the existing Class Notebook through the end of the term. Avoid disabling the original educator's account while students still need that notebook for classwork.
- At the end of the term, create a new Class Notebook for the next class or follow your school's normal archive process.
Where to add the incoming educator
- For Class Notebooks created from microsoft365.com or aka.ms/classnotebook, use Add or remove educators in OneNote Class Notebook.
- For Class Notebooks created in Microsoft Teams, add the incoming educator to the class team before the original educator leaves.
- For Class Notebooks connected through Microsoft 365 LTI, manage educator access through the LMS course roster or Microsoft 365 LTI setup.
If the original educator already left
If the original educator's account has already been disabled and the class is still active, ask your IT admin whether the account can be kept active or restored long enough to complete the handoff. If your school cannot restore access, contact Microsoft Education support for help choosing the safest next step.
