Manage existing AutoText

Manage existing AutoText helps you review and maintain your AutoText library, keep content relevant, update existing AutoText properties, and follow best practices for optimal in-app use.

Note

Use search and filtering tools to browse your AutoText library and reduce time spent scrolling through large lists.

Edit AutoText

Select an AutoText to update one or more of the following:

  • Content
  • Name
  • Shortcut
  • Settings
  • Procedure codes

Changes are saved directly to your AutoText library and are immediately available for use.

Edit AutoText in bulk

You can manage multiple AutoText at once to save time.

  • Select multiple AutoText and select Convert to convert them in bulk to Template, Macro, or Module types.
  • Select multiple AutoText and select Update to identify and update legacy AutoText that need to meet PowerScribe One standards.

Note

Updates action may include warnings such as removing blank Pick List options from fill-in fields to ensure optimal AutoText functionality in PowerScribe One.

Create a new AutoText

In addition to managing existing AutoText, you can create new AutoText for frequently used phrases, templates, or report sections directly from the AutoText Manager.

Clone an AutoText

Clone an existing AutoText to create a personal copy that you can modify and save. Cloning lets you reuse content without starting over.

To clone an AutoText:

  1. In the AutoText Manager, search for and select one or more AutoText.
  2. Select Clone above the column header.
  3. In the Clone AutoText dialog box, confirm the number of AutoText to clone.
  4. Select Yes to proceed.

The cloned AutoText opens in the AutoText Editor.

If the original AutoText has a default attribute, you are prompted to keep or remove it.

Delete an AutoText

Remove AutoText entries that are no longer needed to keep your library clean and relevant. Deleting outdated content helps reduce clutter and minimizes the risk of using incorrect templates or phrases.

To delete an AutoText:

  1. In the AutoText Manager, search for and select one or more AutoText.
  2. Select Delete above the column header.
  3. In the Delete AutoText dialog box, confirm the deletion.
  4. Select Yes.

Note

Deleting an AutoText is permanent. If the AutoText is nested within other AutoText, all associated references are also removed. If you would like to export a copy of your AutoText library for safekeeping, contact your PowerScribe One Administrator.

Convert an AutoText

Change the AutoText type at the personal level, either individually or in bulk. Site administrators can perform conversions at both the site and personal levels.

To convert an AutoText:

  1. In the AutoText Manager, search for and select one or more AutoText.
  2. Select Convert above the column header.
  3. Choose the target AutoText type.
  4. Select Yes to confirm.

When converting a Macro to a Template or Module, any associated shortcut is removed.

Organize AutoText with folders

Folders provide a customizable way to organize personal AutoText. Use this to create, edit, or delete folders. For details, see Manage AutoText folders.

Impact on speech recognition

AutoText supports speech recognition throughout the workflow:

  • Invoke AutoText using voice commands during dictation.
  • Follow best practices when naming AutoText to promote accurate voice invocation.

This enables hands-free interaction and supports faster content creation.

Role-based access

AutoText management capabilities may vary based on assigned user roles, such as:

  • Attending
  • Editor
  • Technologist
  • Administrator

Available actions depend on role permissions and organizational configuration.

Audit an AutoText

You can view an audit history for an AutoText to track changes from creation through the current version.

  1. Navigate to the AutoText Manager.
  2. Locate and select the AutoText you want to review.
  3. When the Preview pane opens on the right, select Audit.

The audit view displays a history of changes made to the AutoText.

Example workflow

  1. Open the PowerScribe One client.
  2. Navigate to the AutoText Manager.
  3. Browse or search for the AutoText you want to manage.
  4. Select the entry to review its details.
  5. Edit the content, update properties, or delete the AutoText as needed.
  6. Save your changes to update the AutoText in your library.
