Assign different meeting roles in a Teams meeting to give people specific permissions. 

There are three roles to choose from: co-organizerpresenter, and attendee. Co-organizers and presenters share most organizer permissions, while attendees are more controlled.

Below are the capabilities for each role:

Limitations for anonymous presenters

Anonymous participants who are promoted to the presenter role during a meeting or webinar are prevented from performing presenter-level actions, including:

  • Muting participants
  • Removing participants
  • Lowering raised hands

*These limitations for anonymous presenters, are not supported on mobile.

These limitations don't apply to anonymous presenters joining from mobile devices.

Change meeting roles

Before a meeting

You'll need to send out the meeting invite before you can assign roles.

To assign roles:

  1. Select Calendar Teams Calendar tab icon in Teams.
  2. Select an event and select View event teams-expand-icon ⁠.⁠
  3. Select Options Settings icon .
  4. In Roles People or Show Participants button  > Choose co-organizers, search and choose people you want to make co-organizers.
  5. In the Who can present dropdown menu, designate who can present during the meeting.
  6. Select Save.
Who can present What happens
Everyone Anyone who has access to the meeting link will join the meeting as a presenter.
People in my org and guests Only people in your org and people with guest access will be presenters.
Specific people Only people you choose from the list of invitees will be presenters. Everyone else will join as attendees.
Only organizers and co-organizers Only organizers and co-organizers can present. All other participants will join as attendees.

A couple of things to keep in mind:

  • Send a meeting invite directly to anyone you want to make a presenter.
  • Co-organizers can't change a meeting before it starts.
  • The role of meeting organizer can't be changed.

Note

The ability to select specific presenters isn't available for channel meetings. 

During a meeting

There are two ways to change someone's role during a meeting:

  • Select People People or Show Participants button in the meeting controls. Hover over a name and select More options Microsoft Teams more options icon . Select Make a presenter or Make an attendee.
  • Go to your Teams calendar. Double-click the meeting and select Options Settings icon Roles People or Show Participants button . Add a co-organizer from the Choose co-organizers dropdown menu. That person will be notified that they can present content and help facilitate the meeting.

Note

  • In recurring meetings, a role reassignment made from Options Settings icon  in your Teams calendar will apply to all future occurrences.
  • In recurring meetings, a role reassignment made from People People or Show Participants button in the meeting controls will only affect that specific meeting occurrence.
  • If someone exits the meeting and rejoins later, they'll rejoin with the last role they were assigned.
